To ensure a seamless and professionally coordinated experience for every guest, the following policies outline the operational standards and terms that apply to all reservations.
Reservation & Cancellation Policy
Full refund for cancellations made 14 days or more prior to the first scheduled service.
50% refund for cancellations made 7–13 days prior to service.
No refunds for cancellations made within 48 hours of the scheduled service.
In certain circumstances involving severe weather or force majeure events, exceptions may be considered at the discretion of R1 Mountain Transportation.
Wait Time
Airport Arrivals
Our team monitors incoming flights to adjust for delays when possible.
A 35-minute grace period is provided after the aircraft has landed. Additional wait time beyond this period may be charged at $30 per 15-minute increment.
Hotel or Residential Pickups
A 20-minute grace period is included after the scheduled pickup time. Additional wait time may be billed at $30 per 15-minute increment.
Additional Stops
Stops requested during the trip may be accommodated when possible and may incur a charge of $30 per 15 minutes, depending on the duration of the stop.
Short restroom stops during longer mountain transfers are complimentary.
Late Night / Early Morning Service
Pickups scheduled between 11:00 PM and 6:00 AM may be subject to an after-hours service surcharge of 10%–20%, depending on operational requirements and vehicle availability.
Luggage & Equipment
Vehicle luggage capacity varies depending on passenger count and vehicle type.
Guests traveling with large amounts of luggage, ski equipment, oversized bags, or specialty gear are encouraged to inform us in advance so we can assign the most appropriate vehicle.
If luggage exceeds the safe capacity of the reserved vehicle, an additional vehicle may be required.
Vehicle Assignment
While every effort is made to provide the exact vehicle reserved, R1 Mountain Transportation reserves the right to provide a comparable or upgraded vehicle if necessary due to operational requirements or availability.
In certain situations, service may be fulfilled by a licensed and professionally vetted transportation partner operating under R1 Mountain Transportation’s coordination and service standards.
Vehicle Care
For the comfort of all passengers:
Smoking is not permitted in any vehicle.
Guests are responsible for any damage caused during the service by themselves or members of their party.
Applicable fees may include:
Seat or carpet burn: $200 per incident
Sanitation or excessive cleaning fee: $300
Additional repair costs may apply depending on the extent of damage.
Travel Conditions & Liability
Mountain travel in Colorado may occasionally be affected by circumstances outside of our control, including weather conditions, road closures, highway construction, or traffic delays.
R1 Mountain Transportation is not responsible for missed flights, lodging expenses, or additional travel costs resulting from such circumstances. Our team will always make reasonable efforts to minimize disruptions while prioritizing passenger safety.
Acceptance of Terms
By confirming a reservation or submitting payment, guests acknowledge and agree to the policies and service terms outlined above.
Passenger Capacity & Safety
For safety, comfort, and compliance with transportation regulations, passenger count may not exceed the seating capacity of the reserved vehicle.
Each vehicle is assigned based on the number of passengers indicated at the time of booking. If additional passengers are added beyond the vehicle’s legal seating capacity, an additional vehicle may be required and billed accordingly.
R1 Mountain Transportation reserves the right to decline transportation if passenger numbers exceed the safe or legal capacity of the assigned vehicle.

We retain booking and transaction records only as long as reasonably necessary for operational, accounting, legal, or safety purposes. When information is no longer required, it is securely deleted or anonymized.
